This policy covers The Arclian Chronicles website, Reader Notes signup, and the Arclian Marketing Manager app used for the Todd R. Smith - Author Facebook Page. Todd R Smith manages reader communications. Maluvrian LLC provides the marketing app’s technical operation.

Information we use

• Reader messages: when you message the connected Facebook Page, Meta can send the app your message text, account identifiers associated with the Page, timestamps and related message events. Information you include in a message may also be received.
• Reader Notes: the signup form uses MailerLite to collect your email address and any other information you choose to enter, manage your subscription, and deliver updates. Its services may process technical and engagement data, such as delivery, opens and clicks.
• Website preferences: reading progress, completed challenges and reader notes are saved in your browser’s local storage. The current website code does not upload these saved notes or progress to our marketing app.
• Technical information: hosting and service providers may process connection information and operational logs to deliver and secure the services.

Why we use it

We use this information to respond to reader inquiries, provide requested updates, maintain reading features, resolve support or privacy requests, and protect the services from misuse. Messaging the Page does not subscribe you to the newsletter.

Service providers and AI

The marketing app uses Microsoft Azure for hosting and message storage. Meta processes Facebook messages through its own platform. MailerLite supplies the newsletter form and email service. Email sent to us is processed by our email providers.

The app also connects to OpenAI for AI features. At this policy’s last update, general automated reader replies are disabled; AI reply testing has used synthetic messages. If AI-assisted reader replies are enabled, relevant message content may be sent to OpenAI to classify the request and prepare an answer. Do not send passwords, payment details or sensitive personal information in reader messages. Automated replies may be inaccurate; contact Todd for clarification.

Provider processing may take place outside your country. See Meta’s privacy policy, Microsoft’s privacy statement, MailerLite’s privacy policy, and OpenAI’s privacy policy.

Retention

The app assigns received Facebook message records an expiry seven days after receipt and has a daily cleanup process configured. Actual removal can occur after that expiry, and technical failures may delay cleanup. Messages in Facebook, email correspondence and provider logs are separate from this temporary app inbox.

Newsletter records remain in the mailing service until removed; unsubscribing stops marketing emails but may leave a suppression record to respect your choice. Browser progress remains until you reset it or clear that site’s browser data. Privacy-request correspondence may be retained as needed to handle and document your request.

Your choices

You can unsubscribe using the link in a Reader Notes email. You can ask us to access, correct or delete information we control, or ask a question about its use. Rights and any exceptions depend on applicable law. See our data deletion instructions for the steps and information needed. We may ask for proportionate verification to avoid deleting another person’s data.
